Offline billing software: keep billing when the internet goes

For shops in towns and villages where the broadband drops in the rain, the mobile signal comes and goes, and a customer will not wait while a page loads. Offline billing software lets the counter carry on, while still keeping your data safe in the cloud.

How offline billing software works

Offline billing software keeps a copy of your items, prices and customers on the counter itself, so a bill can be made without the internet. In Cartix Prime, bills made offline are kept on the counter and go up to the cloud when the connection comes back. Other devices see them then.

So you get both: a counter that never stops, and a cloud copy that survives a broken computer. That is different from old desktop software, where the data lived on one hard disk, and from online-only software that freezes with the network.

Why it matters more than people think

Take a shop in Attappadi or a hill town in Idukki. The broadband line goes down with every heavy rain. Mobile data works in one corner of the shop. On a market day, the queue is longest exactly when the network is weakest.

With online-only billing, that shop either stops billing or writes bills by hand and types them in later. Both cost money: lost sales, mistakes in stock, and GST figures that do not match. Offline billing removes that whole problem.

What keeps working, and what waits

Without internetWaits for the connection
Making bills, scanning, weighing loose itemsThe bills reaching the cloud and your other devices
Cash, card, credit and split paymentsSending bills and reminders on WhatsApp
Printing on the thermal or A4 printerReports on the owner's phone showing these bills

The practical rule: when the net is down, print the bill instead of sending it on WhatsApp. When it comes back, nothing needs to be done by hand. The counter catches up on its own.

UPI is the customer's own phone talking to their bank, so it depends on their signal, not yours. You can still mark the bill as paid by UPI once you see the payment.

Your data is not stuck on one computer

Offline-only software has its own risk. If the computer's disk fails or the machine is stolen, years of bills can go with it. Cartix Prime keeps your data in the cloud with a copy on each counter. Replace the computer, sign in, and your shop is back.

One account works on the Windows desktop app, an Android phone and any web browser. The owner can be at home or in another town and see the day's sales once the counter has synced. Only the people you add can open the shop, and you choose what each staff member may do.

Distributors and vans on the road

Offline matters most on the road. A salesman billing shops from a van passes through areas with no signal at all. On the Gold plan, van sale bills are made on the salesman's Android phone and reach the office when the phone finds signal. See van sales software for that side.

Setting up a counter for a shop with weak internet

  • Bill on the Windows app or the Android app. Both keep billing offline.
  • Put the computer on a UPS. Offline billing does not help if the power goes with the net. A small UPS keeps the computer and printer running through short cuts.
  • Keep a backup connection for syncing. A phone hotspot for a few minutes is enough to send the day's bills up.
  • Use a thermal printer. A 58 mm or 80 mm thermal printer works without the internet and without ink.

Import your items while you are online. After that, the counter has what it needs.

What it costs

Offline billing is not an extra. It works the same on every plan, including Starter.

Plan1 computer + 1 phonePhone only
Starter₹2,499₹599
Silver₹4,999₹1,099
Gold₹8,999₹1,899

Prices are for a year, before 18% GST. Pick the plan for the features your shop needs. The kirana store page and the supermarket page explain which fits whom.

How to start, and test it yourself

  1. Sign up at the start page. 7 days of Silver, free, no card.
  2. Import your items from Excel while you are online.
  3. Print a first bill. Then switch off the Wi-Fi and bill five more.
  4. Switch it back on and watch those bills appear on your phone.

Doing that test at your own counter will tell you more than any page. For printer choices, read 58 mm vs 80 mm thermal printers.

Questions people ask

Is there billing software that works without internet?

Yes. Cartix Prime keeps billing when the internet goes. Bills stay on the counter and go to the cloud when the connection returns, so you get offline billing and a cloud backup together. It works on Windows and Android.

What happens to bills made offline?

They are saved on the counter where they were made. When the internet comes back, they go up to the cloud on their own. Reports on other devices, like the owner’s phone, show them after that.

Can I send WhatsApp bills when offline?

Sending on WhatsApp needs a connection. When the net is down, print the bill on the thermal printer instead. Everything else at the counter, including credit and split payments, carries on, and you can send the bill on WhatsApp later.

Is offline billing software safe if my computer breaks?

With software that stores data only on the computer, a broken disk can lose years of bills. Cartix Prime keeps a copy in the cloud and on each counter, so you can sign in on a new computer and continue where you stopped.

Does offline billing cost extra?

No. Billing without internet works the same way on every Cartix Prime plan, from Starter at ₹2,499 a year (₹599 phone only), before GST. You choose the plan for its other features.
