What van sales software has to settle
Van sales software has to bill shops from the van, track the van's stock, and settle the day in the evening: sold, returned, short, and cash collected. In Cartix Prime, van sale and salesmen are on the Gold plan. Each salesman bills on an Android phone, and everything reaches the office when the phone has signal.
Think of a distributor in Kozhikode with three vans covering a hundred shops across six routes. Without software, the evening is a table of paper bills, a calculator and a salesman explaining why the cash is ₹1,200 short.
Van stock: load in the morning, unload in the evening
In the morning, the godown loads the van and the load is entered. Stock moves from the godown to that van. As the salesman bills shops, the van's stock goes down. In the evening, what comes back is unloaded into the godown.
The settlement then shows what was loaded, what was sold, what came back and what is short. A difference is a number on the screen, not an argument.
Routes, shops and what each one owes
Each salesman has routes, and each route has its shops. When the salesman opens a shop on his phone, he sees what that shop owes from earlier bills. That makes the collection talk easier.
- Shops grouped by route, so the day's list is short
- Each shop's balance and credit limit
- Bills on WhatsApp to the shop owner, or printed on a Bluetooth printer
For giving credit to retailers without losing control, read customer credit and udhaar.
Price lists per shop
Distributors rarely have one price. A large supermarket gets a wholesale rate, a small kirana another, and a special customer gets a special rate. On Gold, price lists hold wholesale, retail and special rates per customer, and the right one applies as the salesman bills. The salesman does not have to remember who gets which rate.
Collections on the road
Shops pay old bills in cash or UPI when the van comes. The salesman records each collection against the right bills. In the evening settlement, cash in hand is checked against collections and cash sales together.
Roads through hill areas lose signal. Billing on the phone carries on offline and catches up when the signal returns. See offline billing software for how that works.
GST for distributors
Most of your customers are registered shops, so their GSTIN goes on every bill and shows up in GSTR-1. Gold includes GSTR-1 and 3B ready for filing or for your CA, e-invoices with IRN and signed QR, and e-way bills. Whether e-invoicing applies to you depends on your turnover; check with your CA. Read e-way bill rules and e-invoicing under GST.
The godown and the office
Van sale is only half of a distributor's work. The other half is buying from companies and keeping the godown right. Gold adds purchase orders, goods received notes with a goods check for short or damaged cases, and supplier rates. Accounts give profit and loss, ledgers and export to Tally, so your CA works from the same figures.
Salesmen and godown staff can be paid through staff attendance and payroll, also on Gold. For counting the godown, read stock taking.

Questions people ask
What is van sales software?
Van sales software lets a salesman bill shops directly from a delivery van on a phone. It tracks the stock loaded on each van, the bills and collections along the route, and settles the van in the evening.
Which software is good for a distributor with salesmen?
Look for route-wise shops, van stock load and unload, price lists per shop, collections against bills, offline billing on the road and GST for B2B bills. Cartix Prime has these on Gold at ₹8,999 a year before GST.
Can salesmen bill without internet on the road?
Yes. In Cartix Prime the salesman’s phone keeps billing in areas with no signal. Bills and collections reach the office when the phone finds signal again, so the evening settlement is complete.
How do I settle a van at the end of the day?
Compare what was loaded, what was sold and what came back, then match cash in hand with collections and cash sales. Cartix Prime’s van settlement shows each figure and any shortage.
Can I track my vans live on a map?
Live location of vans and targets for salesmen are on the Platinum plan, at ₹12,999 a year before GST. Van sale itself, with routes, van stock and collections, is on Gold.
