The repair counter without a system
Job card software exists because a repair counter runs on memory and paper slips. A customer leaves a phone with a broken screen. The slip goes into a box. Three days later they call to ask if it is ready, and someone has to dig through the box, find the phone, and ask the technician. Meanwhile another customer walks in for a phone that was promised yesterday.
Maintenance contracts are worse. A shop that services water purifiers or air conditioners sells an AMC, and then forgets the visit. The customer remembers when the contract ends, and does not renew.
On top of this, the repair and the spare parts have to be billed properly, with GST, and the parts have to come out of stock.
What Cartix Prime does
On the Gold plan and above, Cartix Prime has a jobs module for service and repair work:
- Job cards for each piece of work that comes in, so every job is recorded from the day it arrives.
- Maintenance contracts (AMC) for customers on a yearly service agreement.
- Reminders, so service visits and contract dates are not forgotten.
- A tracking link for the customer, so they can see where their job stands instead of calling the shop.
Because jobs sit inside the same software as billing and stock, the final bill is a normal GST bill from Cartix Prime, and spare parts sold come out of stock like any other item. The bill can go on WhatsApp as a link, on every plan.
Gold also brings things repair shops tend to need anyway:
- Serial numbers and warranty, for phones, laptops and appliances you sell. A phone’s IMEI is its serial number.
- Orders with an advance, when a customer pays part now for something delivered later.
- Customers (CRM) with follow-ups, enquiries and feedback with a 0–10 score.
- Approvals sent to the owner’s phone when staff give a discount past what they are allowed.
How it works at the counter
- The customer brings in the item. Open a job card with the customer’s details and what needs to be done.
- Send the customer the tracking link, so they can check the job themselves.
- The technician works on it. The job card is the one place where the job is followed up.
- When the work is done, bill the service and any parts as a normal Cartix Prime bill. Parts come out of stock.
- For AMC customers, the reminder comes up when the next visit is due.
An example
Take a mobile and laptop repair shop in Kochi that takes in thirty phones a week. Before, the owner spent part of every evening answering “is my phone ready?” calls. With job cards, each phone has its own card, the customer has a tracking link, and the calls drop. When a phone is handed back, the screen and labour are billed with GST, the screen comes out of stock, and the bill goes to the customer on WhatsApp.
Or take a water purifier dealer in Coimbatore with four hundred AMC customers. Reminders show which customers are due for a visit this week, and the dealer can plan the technician’s route around them.
Who it suits
- mobile phone and laptop repair shops
- electronics and home appliance service centres
- computer, printer and CCTV service businesses
- dealers who sell AMCs for water purifiers, air conditioners or generators
- shops that sell products and also service them, such as a two-wheeler accessories shop or an electrical shop
If your shop rents out items rather than repairing them, read rental management instead. For the selling side of a mobile or electronics shop, see batch, expiry and serial numbers and retail POS software.
