The questions every shop owner asks
How much did we sell today? Which items make money and which just sit on the shelf? When is the rush, so I can put two people on the counter? Who has owed me for three months? Many shops answer these from memory or a notebook, and the answers are often wrong.
Cartix Prime answers them from the bills themselves. Every bill, return, purchase and payment goes into the reports, and since one account works on the computer, the Android app and a browser, the owner can check them on the phone while away from the shop.
Sales reports
- Sales summary: by day, by hour, by person or by payment mode (cash, UPI, card, credit). This is your daily sales report.
- Profit: what you made on what you sold.
- Item-wise sales: quantity and value for each item.
- Customers: who buys and how much.
- Compare periods: this month against last month, this week against the same week last year.
- Busy hours: when the bills come in, so you can plan staff and breaks.
- Bought together: items that often go in the same bill, useful for shelf placement and offers.
Purchases can be seen by item, category, brand or supplier, so you know where the money went as well as where it came from.
Stock reports
- Stock: stock value, items running low, and items not selling.
- Stock by location: what is where.
- Stock summary: opening, in, out and closing for a period.
- Item statement: every movement of one item.
- ABC analysis: the few items that bring most of your sales.
- Expiry: what is close to its date.
- Stock audits (Silver and up): results of a stock count.
- Stock transfers (Platinum): goods moved between branches.
Running low and not selling are the two lists worth checking every week. One tells you what to reorder; the other shows money stuck on the shelf. For a stock count, see our guide to stock taking in a retail shop.
Money reports
- Shifts (Silver and up): sales and cash for each shift, and any shortage at closing.
- Ageing: who owes you and for how long.
- Sales and purchase register: the register your CA asks for.
- Bill audit: cancelled, edited and discounted bills, in one place.
- Schedule H1 register: for medical stores.
Bill audit is the report to check if cash does not add up. A cancelled bill after the customer has paid, or a large discount nobody asked you about, shows up here. Pair it with staff roles and the activity log.
GST and accounts reports
GSTR-1 and GSTR-3B are on every plan; see GST return software. Gold adds the ITC match with GSTR-2B, e-way bill and e-invoice files, and full accounts: day book, cash book, trial balance, P&L, balance sheet, cash flow and more, with Tally export. Read accounts and Tally export. Platinum adds a head office view that compares branches.
How to use them in a normal week
- Each evening, open the Sales summary on your phone and check cash against UPI and card.
- Glance at Bill audit for cancelled or heavily discounted bills.
- Once a week, check Stock for items running low and not selling, and place orders.
- Once a week, open Ageing and send WhatsApp reminders to customers who owe the most.
- Once a month, look at Profit, Compare periods and Busy hours, and send the Sales and purchase register to your CA.
