A POS with staff permissions, shift closing and a record of who did what

For owners who cannot stand at the counter all day but still want to know the cash is right. Cartix Prime lets you decide what each staff member may do, closes each shift with a cash count, keeps a log of who did what and sends risky actions to your phone for approval.

Every plan Shifts, cash closing and the activity log are Silver and up; approvals Gold.

Cash short again, and nobody knows why

The drawer is ₹600 short at closing. Was it a wrong change, a bill cancelled after the customer paid, a discount given to a friend, or an item billed at a lower price? With one login shared by everyone, there is no way to tell. Most staff are honest, which makes it worse: everyone feels suspected and nothing gets fixed.

The answer is not watching the counter all day. It is software that lets each person do only their job, records what they do, and closes each shift with a count. That is how staff control works in Cartix Prime.

Roles, permissions and PINs (every plan)

Each staff member gets their own role. The owner chooses what each role may do, so a cashier can bill while the bigger decisions, like cancelling a bill or giving a large discount, stay with a manager or with you. Give each person only what their job needs and widen it as trust grows. At the counter, staff switch with a PIN, so every bill carries the name of the person who made it.

Credit limits work the same way on every plan. When a bill would take a customer past their credit limit, it stops until someone who is allowed gives the OK at the counter. Starter allows 2 staff, Silver 7, Gold 19 and Platinum any number.

Shifts and cash closing (Silver and up)

A shift starts when the cashier opens the counter and ends with a cash count. Cartix Prime shows what the drawer should have from that shift's bills and payments, the cashier enters what is actually there, and the difference is recorded. The Shifts report keeps every closing, so a pattern of shortages on one counter or one shift is easy to see.

Splitting the day into shifts also helps honest staff: if the morning shift closed right, the evening shift starts clean.

Activity log and bill edit history (Silver and up)

The activity log records who did what in the app, with the person's name, so a cancelled bill or a changed bill is never anonymous. Bill edits keep their history, so you can see the bill as first made and every change after it. The Bill audit report, on every plan, lists cancelled, edited and discounted bills in one place. Together they answer the question "what happened to that ₹600" in a few minutes.

Approvals on the owner's phone (Gold)

Some actions should not happen without the owner or a manager. On Gold, you choose which ones need approval, such as a discount, a void, or credit past the limit. The request goes to the people allowed to approve it, in the app and as a notification. The owner can approve from home or another shop, and the counter carries on.

How it works at the counter

  1. The owner creates roles (cashier, senior cashier, manager) and picks what each may do.
  2. Each staff member gets a PIN.
  3. The cashier opens a shift and bills with their own PIN.
  4. A discount above the allowed limit, or a void, goes to the owner's phone for approval (Gold).
  5. At the end of the shift, the cashier counts the cash and closes the shift.
  6. The owner checks the Shifts report and Bill audit in the evening, from the phone.

A simple setup for a two-counter shop

Take a supermarket in Palakkad with two counters, a morning and an evening shift, and a manager who comes in at noon. A setup that works well:

  • Cashiers: bill, take payment, hold and recall bills. No cancelling, no large discounts.
  • Manager: everything a cashier does, plus returns and cancelling a bill.
  • Owner: everything, including roles and reports.

Each cashier opens and closes their own shift. If a customer asks for a bigger discount, the cashier sends it for approval on Gold, or calls the manager over. In the evening the owner opens the Shifts report and Bill audit on the phone. A shortage on one shift is now a conversation with one person about specific bills, not a guess about everyone.

Who it suits

  • Owners with two or more people on the counter
  • Supermarkets with morning and evening shifts
  • Owners who run a second shop or business and cannot be at the counter
  • Medical stores and restaurants where a manager handles the day

Questions people ask

How do I stop cash shortage at my shop counter?

Give each staff member their own PIN, limit who can cancel bills or give discounts, close each shift with a cash count and check the cancelled and edited bills. Cartix Prime does all of this; shifts need Silver and up.

Can I give different permissions to cashiers and managers?

Yes. In Cartix Prime the owner sets roles and chooses what each role may do, so each person does only their own job. Staff switch at the counter with a PIN. This is on every plan.

What is shift closing in a POS?

At the end of a shift the cashier counts the cash and the software compares it with what the bills say should be there. Cartix Prime records each closing and the difference in the Shifts report, on Silver and up.

Can I see who cancelled or edited a bill?

Yes. On Silver and up, the activity log records who did what and bill edits keep their full history. The Bill audit report on every plan lists cancelled, edited and discounted bills.

Can I approve discounts from my phone?

On the Gold plan, yes. Discounts, voids and credit past a limit can be set to need approval, and the request reaches the owner or a manager in the app and as a notification.
